Faster Search & Smarter Navigation
Text searches are now dramatically faster, the result of deep back-end rewiring that delivers near-instant results regardless of corpus size. The experience around search has been redesigned just as thoughtfully as the engine itself.
- Run multiple searches in separate tabs simultaneously, keeping each context intact
- Refresh results at any time with F5 without losing your position
- Use the new Find Panel to filter result lists instantly as you type
Behavior change to note
Searches now match whole words by default for cleaner, more precise results. To include word forms in a search, append an asterisk, e.g. draft* to capture “drafting”, “drafted”, and similar variations. This small adjustment gives you explicit control over precision vs. breadth.
Enhanced Email & Collaboration
The gap between Docsvault and your Outlook inbox has never been smaller. Saved emails now display a green checkmark so you can see at a glance exactly what’s already stored, no double-checking, no guesswork.

Overhauled Editor & New PDF Tools

The headline feature of v18 is DocAI, our brand-new intelligent document processing add-on that fundamentally changes how information enters Docsvault.
How DocAI works
During import, DocAI reads your PDF documents and extracts key information automatically, including invoice numbers, dates, names, amounts, and more. That data is used to populate index fields, generate meaningful file names, and support automated filing rules.
The result is dramatically less manual data entry, with higher accuracy and consistency across your document library. Your team spends time on work that matters, not on typing metadata.
Smarter Import Options
Import workflows have been significantly expanded so documents land exactly where you want them, structured exactly as you need.
- Split PDFs during import by breaking multi-document scans into individual files automatically
- Copy metadata from existing documents to populate index fields on new imports
- Create new document versions on the fly during import
- Handle duplicate filenames gracefully with the new “Keep Both” option
Simplified Link Sharing
Sharing documents inside and outside your organisation is now effortless. Enterprise and Ultimate edition users can create and share links of any type directly from the right-click context menu, no digging through settings required.

UI & System Improvements
